Email Notifications

Published · Last updated

Super Speedy Chat supports two types of email notifications:

  • Admin notifications – alerts sent to you when a visitor starts a new conversation or leaves their contact details.
  • Visitor notifications – alerts sent to visitors when you reply while they are away from the site.

Both are optional and configured independently under Settings > Email.

Admin Notifications

When enabled, the configured admin email address receives an email each time a new conversation starts on your site, and another when a visitor leaves their contact details on the prompt below. Each shows the visitor’s email address and phone number when they left them.

When the visitor left an email address, replying to the notification goes straight to them. When they left only a phone number, the email gives the number to call or text.

Admin EmailThe address that receives notifications. Defaults to the WordPress site admin email if left blank.

Visitor Notifications

When a visitor provides their email address and then leaves the site, they will receive an email whenever an admin replies to their conversation. The email contains the text of the admin’s reply.

Collecting Contact Details from Visitors

The contact prompt appears automatically when all of the following conditions are met:

  1. The admin reply timeout fires (configurable; default is 30 seconds).
  2. The timeout action is set to “Show email prompt” or “Auto-reply with LLM, then show email prompt” on the Automated Responses tab, under When Nobody Replies.
  3. The visitor has not already left their details in the current conversation.

Contact Details to Ask For in the same section decides what it asks for: an email address (the default, “Leave your email and we’ll notify you when we reply”), a phone number, or either of the two. Visitors can only receive reply emails when they left an email address. See Automated Responses and Canned Responses for the exact wording of each.

Did you know?

Visitor notifications and the email prompt work together. The prompt is what collects the address, and the timeout action that shows it lives on the Automated Responses tab. Pair a sensible Admin Reply Timeout with Show email prompt so visitors are only asked once your team has genuinely missed the message.

Tips

  • Verify your site can send emails. If notifications are not arriving, install a plugin like WP Mail SMTP to diagnose delivery issues.
  • Use the email prompt as a fallback. When you cannot reply immediately, collecting the visitor’s email ensures you can follow up later.
  • Compatible with any SMTP plugin. Emails are sent using the built-in wp_mail() function, so any plugin that routes WordPress mail through an external SMTP server will work automatically.
Common mistake

Don’t rely on your host’s default PHP mail for notifications. Bare wp_mail() on shared hosting frequently lands in spam or is dropped silently, so a visitor who left their email never hears back. Route mail through a proper SMTP or transactional provider before you turn on the email prompt.
